Security and data

Questions to ask

  • What security measures are in place?
  • Who owns the data?
  • Will it be lost if you leave the provider?
  • Can the system pull in data from other sources?
  • What systems will it integrate with?

The security of your fleet management software is of paramount importance for both operational and commercial reasons.

And no less important is the management of the data that the software controls, as well as its ownership.

It is now common for software to integrate with third-party programs and specialist applications.

Fleet software should link into licensing authorities systems, such as Vehicle and Operator Services Agency (VOSA), Driver and Vehicle Licensing Agency (DVLA) and the Motor Insurance Database (MID).

Gary Jefferies, sales and marketing director at Bynx, says: “Fleet managers should expect, at the very least, controlled access when it comes to the security of the system.

“With our systems, for example, it can be controlled with a secure password that can be easily managed by the fleet manager.

“Access should be limited to only those who need it for accessing, entering and retrieving data held in the system – this level of security stops unwanted and unauthorised downloading of records and keeps data safe and secure.”

If the security of your system is paramount, then consider working with a company that is certified with ISO 27001, which is the international standard describing best practice for an Information Security Management System.

But don’t overlook other security safeguards that software providers have in place – and how they handle their other clients’ security needs.

The Fleet News View

Efficient fleet management software has the potential to slash the admin burden while simultaneously providing failsafe checks to ensure that duty of care considerations are adhered to.

And with the capabilities of hand-held devices coming to the
fore,  the efficiency of these systems has never been greater.

But the devil is in the detail when it comes to getting the right system in place for your organisation.

That’s why the importance of asking the right
questions prior to implementing a new system – or switching supplier – has never been greater.
