PRS Recruitment Solutions are looking for a Full Time Permanent Operations Manager in Reading, Berkshire to start as soon as possible.

Position Overview

The position of Operations Manager is to ensure the smooth running of the operations offices, making sure all jobs are given to the correct drivers in order to maintain the most cost-effective way to get the work done, ensuring that the company is always making as much profit as possible.

You will also be responsible for making sure all drivers and vehicles are always running 100% legal.

Scope

The Operations Manager reports to the board of Director’s and is responsible for maintaining and implementing processes to ensure the Operations department runs effectively. This includes maintaining office services and efficiency, supervising office staff and maintaining office records.

Responsibilities

Maintain & Implement office procedures

Main Activities:

Design and implement procedures in collaboration with Director’s

Maintain standards are met and procedures implemented

Supervise office staff

Pricing of the jobs & details on the system are correct

Manage all drivers

Monitor all driver details making sure that the company is 100% legal at any given time (this must be documented)

Make sure all drivers are using their APPS (this must be documented)

Control all correspondences to customers from the Operations department

Maintain office equipment (printers, toners, paper, all office stationary)

Supervision of Staff & Drivers

Main Activities:

Assign and monitor all procedures that are implemented & ensure they are being carried out correctly

Ensure all staff have clear directives when handing over of an evening or weekend (this must be documented via e-mail)

Ensure that there is always adequate cover in the office when people are away (this must be documented via e-mail)

Recruit drivers ensuring all legalities are correct as per the driver’s packs

Ensure regular checks are carried out on drivers’ vehicles

Ensure ALL drivers always have uniform & wear it

Ensure ALL drivers have “Spill Kits” and ID Badges

Ensure ALL drivers packs are signed & filled out correctly. They are then to be passed to HR for authorisation. (No driver to start without written authorisation from HR)

Deal with any driver issues

Maintain office records

Main Activities:

Design & implement filing systems

Ensure filing systems are maintained and up to date

Define procedures for record retention so all staff are aware where records are

Ensure protection and security of files and records

Ensure personnel files are up to date and passed to HR for filing

Maintain office efficiency

Main Activities:

Plan and implement office systems to ensure the most efficient running of the office

Ensure office running to maximum efficiency, suggest ideas to director’s

Reporting Required

Reports:

Weekly individual driver job sheets with charges in & out (hand in with wages by 14:00 every Tue)

Weekly collated job sheet showing charges in & out with totals (hand in with wages by 14:00 every Tue)

Weekly report showing: New customers, returning customers

Monthly report showing: Customers usage

Essentials

Must be ready to start work at 08.00 - Monday to Friday

Finish work at 18.00 but to stay on if required

To be dressed smartly.

Other Details

You report directly to the Directors.

You may be required to work additional hours if necessary (Including weekends)

You will be expected to work under the directive of the Directors.

You may be expected to travel to customer’s offices or other sites.

£40,000 to £45,000 + per annum dependant on experience
