Customer service and client focus are paramount to the business, and as a result, an experienced Vehicle Hire Manager is now required to take full responsibility for the vehicle hire and off-hire and accounting processes across the company client base.
The role of Vehicle Hire/Rental Manager will require an extremely methodical and personable individual. In addition they will have a keen attention to detail and be self motivated to ensure smooth administration procedures are followed to at all times. The Vehicle Hire/Rental Manager will have responsibility for managing a small team and to ensure succession planning for the future of the business. The Vehicle Hire/Rental Manager will also be confident in their ability, keen to build relationships and focussed on detail. The ideal candidate will have a proven track record as a vehicle rental manager or supervisor
The primary aim of the Vehicle Hire/Rental Manager is to ensure that the business needs and requirements are met and that work is completed in an efficient and timely manner.
The key day-to-day responsibilities of this role are varied and include:
Ensuring accurate recording of all details regarding to vehicle hire and off hires as well as any agreed vehicle movements
Liaising with third party agencies to ensure all agreements are met in a timely manner an in accordance with client needs and expectations
Managing the process of booking hire vehicles to cover accident and arising needs of staff
Review of current hirings, communicating findings to clients’ with regard to extensions and terminations of hire periods (including company vehicles and external hires)
Monitor invoices and Penalty Charge Notices relating to externally hired vehicles
Liaise with external hire companies regarding invoice queries (e.g. damage claims)
Keeping records of all claims, collecting relevant paperwork as required by company and statutory guidelines
Liaising with hire company regarding any queries and cost clarification
Managing the work of the team to ensure vehicle KPIs are met and reporting on team and individual performance accordingly
Periodic reporting on team performance against set targets and SLAs and reporting as necessary
Ensure administrative matters relating all vehicle hires and movements are completed in line with company procedures
Maintain accurate details of the locations of all company vehicles and any agreements relating their usage

Be able to confidently communicate, both orally and written
Be detail oriented and technically minded
Strong team leadership/supervisory skills, able to develop team members in accordance with their skills and capacity.
Be able to efficiently utilise different computer and communication software applications (e.g. Microsoft Office)
Have strong reporting skills
Have excellent time management t skills and able to effectively prioritise tasks
Be a proactive person able to identify problems/issues and resolve in a timely manner
Previous vehicle rental experience essential
Have experience of using Prohire or similar package
