Working Hours: Monday to Friday 08:00 – 17:00 with flexibility around requirements
Liaises With: Transport Team, Warehouse Team, Maintenance and Compliance.

The client I am recruiting for is a family owned & run international art logistics company for private collectors, museums and galleries. With over 130 years’ experience and worldwide recognition in fine art transportation, My client combines their unrivalled knowledge and expertise with latest technical innovation in secure storage and project management.

Main duties and responsibilities:
• Support the Transport Manager with fleet management such as vehicle maintenance, EU driver’s hours legislation, tachograph data processing, EU Working Time Directive, Annual Leave/Sickness recording, Training and Development of the transport team.
• Ensure safety legislation is adhered to and safe working practices are adopted at all times.
• Be a named Transport Manager on the companies operators licence.
• Adhere and champion Company policies and procedures for H&S, Quality Assurance and Security
• Manage adherence to EU drivers’ hours legislation and DVSA Operators Licence requirements
• A high standard of legal compliance – underpinned by having the right policies, processes and procedures in place.
• Management of vehicle maintenance schedules and repairs, using forward wall planners, paper record keeping and digital R2C records.
• Ensuring the fleet is inspected in line within the undertakings of the company Operator Licence.
• Regular assessment of the vehicles to ensure roadworthiness – post incident & repair.
• Ensuring DVSA guidelines and requirements are adhered to with regard to roadworthiness.
• Maintain a stock of appropriate parts, tyres, sundries, panels, materials and tools required to supply the operation on a day-to-day basis
• Manage the cleaning of the fleet vehicles inside and out.
• Oversee vehicle packs to ensure information is accurate and current, maintain packs with relevant and new information.
• Manage the stock of equipment and tackle for vehicles, ensure vehicles have the correct and functioning equipment on board
• Most appropriate and cost-effective route for vehicle repairs.
• VOR management – that includes identifying trends and putting effective processes in place to reduce time off road and associated costs.
• Management of driver’s hours in line with the relevant regulations.
• Management of driver infringements, debriefs, toolbox talks and training.
• Tachograph downloading and processing across all sites.
• Driving Licence, CPC and DQC periodic checks and follow ups.
• Proactively engaging with repair and service agents to ensure receive a high standard of service and prompt turnaround of vehicles.
• Review of repair and maintenance tasks to make sure they are carried out in the most cost effective manner.
• Monitor overall fleet spending in line with accounts on a monthly basis, interrogate costs and look at potentials and savings and anomalies.
• Work alongside the operations director with pricing, ordering and specifying new vehicles, bodies and ancillary equipment.
• In fleeting / De fleeting Vehicles
• Work alongside the operations director to run the fleet replacement plan and forward vehicle budgeting.
• Ensure defect reporting standards are followed, actioning of defects and booking for repair in a timely manner.
• Daily audit/check of due vehicle checks and active defects.
• Oversee yard parking and usage of operating centres from a fleet perspective.
• Daily vehicle gate house checks to spot check compliance of checks, vehicle condition, damages and tackle checks.
• Insurance – Notification of accidents/damage to insurers. Liaison with insurance company and broker. Issuing of new certificates etc. as needed. Investigation of accidents, trends and recurring issues and taking appropriate action
• Support with the annual insurance renewal
• Support the transport team with day-to-day activities
• Briefing of drivers to include detailed instructions on execution of tasks.
• Carrying out self-audits and health check audits on fleet compliance.
• On call out of hours for maintenance and operational issues

General

• Undertake any other duties that may be required by the management of the organisation commensurate with the responsibilities of the role or the requirements of the business. Include cover for transport team and on call duties

Skills / Knowledge

• Excellent IT knowledge, specifically in the use of Microsoft Office Suite, Transport operations systems, scheduling software.
• Strong knowledge of vehicle compliance and management.
• Full UK Driving Licence.
• Transport Managers CPC
• Ability to work under pressure and adapt to a constantly changing environment.
• Excellent time management.
• Excellent verbal and written communicator.
• Strong administrative skills with excellent attention to detail.
• The ability to be an excellent team player.
