Although Provecta Car Plan is a specialist in providing employee car ownership schemes, the mileage capture system is being offered to any fleets with drivers who reclaim their business mileage.
Each month, employees signed up to the system, called MyMiles, register their business mileage, including commuting if it is reimbursed, along with their odometer reading.
The system then automatically calculates the repayment due to the employee, using rules set in the system by the employer, such as the level of reimbursement on a pence per mile basis.
Reports can then be downloaded into the employer’s payroll system for staff payment.
The system also keeps a historic record of employee mileage covered, while managers can download a series of reports on employee activity.
Developed in-house by Provecta’s own team, MyMiles automatically emails drivers to remind them to update their mileage claims and also requires a health and safety statement from each employee to be signed. Currently, nearly 1,000 drivers are using the service, which costs from £2.50 to £5 per driver per month depending on fleet size, but Provecta believes there is massive room for expansion.
